Eagle Backup Usage Guidelines

General
The University of Â鶹´«Ã½ provides computer backup capabilities for current students, faculty, and staff members through Microsoft OneDrive.
1. Overview
- The University of Â鶹´«Ã½ provides computer backup capabilities for current students, faculty, and staff members through Microsoft Office 365 OneDrive. Once configured, selected files will automatically be copied to OneDrive from your computer while your computer is turned on and has an active internet connection.
- There is no charge for this service for university students, faculty, and staff for up to 250GB of data. Extenuating circumstances to increase space available will be evaluated by administration.
2. User Responsibility
- Individual users/persons utilizing Eagle Backup services are responsible for the following:
- Verifying that their backups are being executed as expected.
- Notifying the Help Desk for assistance if requested quota is exceeded or if backups cease to occur.
3. Maximum Number of Devices
- The maximum number of devices per user account allowed to use Eagle Backup services is five (5)..
- Only one user account per employee. Multiple user accounts per employee are not supported.
4. Mobile Device Client Option
- While a user's mobile devices cannot be backed up, the mobile device will have access to view all data backed up from a workstation for a user profile with the OneDrive mobile application after authentication.
- If a mobile device is stolen, all data for that user profile is accessible by the person that has taken control of that mobile device if the mobile device security has been compromised.
5. Schedule
- The files on a computer configured to use Eagle Backup are backed up continuously with an active internet connection.
6. Data Retention
- If a person deletes a file from a computer that utilizes Eagle Backup services, the deleted file can be restored for up to 30 days before the file is no longer available..
7. Files Eligible for Backup
- The OneDrive application allows the user to choose Desktop Folder, Documents Folder, and/or Pictures Folder to be synchronized to the cloud. All files in those folders are kept up-to-date.
- The following file types cannot be backed up: Outlook database files (.pst) and OneNote files not already stored in OneDrive (.one, .oneplug, .onetoc, .onetoc2). For these files, an alternative backup solution must be used.
8. Prohibited Files
- Individuals must not use the service for the following types of files:
- Files that are prohibited by law.
- Files which contain Protected Health Information (PHI) as defined in 45 CFR 160.103, where 'CFR' means 'Code of Federal Regulations.'
- Files which contain the full primary account number of a payment card.
- Files containing unencrypted CampusID credentials or other University account authentication details.
- Malicious software.
9. Restoring Files
- Users will be able to restore a file from workstation backup in the following ways:
- Through the OneDrive client recycle bin; or
- Through the assistance of the Help Desk (601.266.HELP(4357)).
10. Service Limitations
- Southern Miss iTech will not be held responsible for loss of information or files.
11. Review
- The Chief Information Officer is responsible for the review of these guidelines every four years or whenever circumstances require immediate review.
12. Forms/Instructions
- To request Eagle Backup, submit the Eagle Back Request Form found on the iTech Self Service Portal.
- To request changes to existing Eagle Backup Service, (increase quote, decrease quota, or account delete), submit the Eagle Backup Change Request Form found on the iTech Self Service Portal.
